Recognise the problem?

The spreadsheet grew. So did the workarounds.

Spreadsheets can be a useful starting point. But when formulas are fragile, copies disagree or every update needs a message, it may be time to review the process.

We look at the information, calculations, responsibilities and decisions behind your workbook. Then we work out whether improving an existing tool, connecting systems or building an app is the right next step.

Dan has worked from spreadsheets and shared workbooks himself. You can show us how things work today without having to tidy everything up first.

A workspace with a purpose

See the work.
Know the next step.

Clear records

Forms and validation can collect the right information. We agree where each record comes from and how changes are handled.

Visible responsibility

Put work, status and ownership together. Make overdue items and decisions easy to find.

Useful handovers

Keep notes, outstanding tasks and the next action with the work, so the next person can pick it up.

From our own experience

The thinking behind Myle Ops.

Myle Ops is an operational workspace built for Dan’s business. It brings together issues, tasks, procedures, handovers, reporting and allocation views.

The transferable idea is simple: give the people doing the job a clear place to work, and give the owner a useful view of what needs attention.

Your business may need different records, screens and permissions. We sketch those with your team and test a small working slice before expanding the build.

Illustration, not live business dataThe dashboard shown here uses fictional records to explain the approach. It is not a screenshot of customer or staff information, or a claim about measured time savings.

A practical build

Start with the part that matters most.

  1. Map the current process

Understand what each field, formula and handover is doing. Identify the original records, duplicates and essential calculations.

  2. Design around real tasks

Sketch the views your team needs, including phone use where relevant. Agree who can view, change and approve information.

  3. Test a focused version

Validate calculations and workflows with controlled examples. Test errors and exceptions as well as the usual route.

  4. Move over with a plan

Agree data preparation, migration checks, training and a way to recover if something needs attention. Hosting and support are set out in the quote.

Straight answers

A few things you might be wondering.

Can you replace our Google Sheet or Excel workbook?

Yes, where a custom application is the right solution. We first understand the records, formulas, permissions and decisions it supports. Sometimes improving the workbook or connecting an existing product is enough.

Will a custom dashboard automatically be more secure?

Security depends on the design, implementation and how the system is run. We agree access permissions, validation, backups and activity records for the proposed scope, then test the controls. Replacing a spreadsheet alone does not establish that a system is secure.

Can it connect to our existing software?

We assess the APIs, integrations, permissions and account plans available. We agree which system owns each record and how failed or conflicting updates should be handled.

Can you include rotas, reports or payment preparation?

These can be scoped where they fit the process. We have built rota and operational reporting systems, and workflows that prepare payment information. Calculations and approval responsibilities need to be agreed and tested for your business.

What will a dashboard cost?

We quote for the agreed scope, integrations, hosting and support. A free 45-minute introductory call is the starting point. If a deeper review is useful, our £295 Systems Review covers up to three systems and two workflows; the fee is waived or credited when you proceed with more than £2,000 of quoted implementation work.
